The Foundations of Data-Driven Asset Management and Compliance

Data-driven social housing asset management and compliance doesn’t mean having more data. There’s probably more than enough data already in the system. But having data and using data aren’t the same thing.

Let’s look at the benefits of being data-driven first:

  • At-a-glance, real time compliance data, available 24-7 on almost any device.
  • Data granularity that allows specific users to access detailed intelligence depending on their role.
  • Budgets based on a firm foundation of detailed asset data.
  • The ability to accurately plan inspection and maintenance schedules that achieve 100% safety compliance.
  • A longer-term work scheduling and budgeting horizon.
  • More efficient and cost-effective supply chain management.
  • Clearer communications and better accountability between suppliers and management levels with greater visibility of compliance status and potential gaps.
  • Better first time fix rates and improved resident satisfaction.

The Foundation Blocks

Data-driven asset management and compliance needs three foundation blocks to be in place:

  1. A common data environment. So even when multiple organisations are involved in safety compliance checks and property services, there’s one repository for data about the stock.
  2. Data should be updated in real time without relying on paper forms or duplicated handling.
  3. Information should be organised in a cloud-based system that allows secure access from anywhere.

Without these foundations in place, more data tends to make the fog denser rather than the view any clearer.

Consolidating Compliance Data

The first of these is the most fundamental. Without a common data environment, chasing information becomes a way of life. Yet, the reality for many large social housing providers is that they have multiple suppliers collecting data in their own way and no easy way to bring it all together.

A positive initial step, would be to have a tool that can extract key compliance and asset information from almost any data source – even PDF files. You can then create a consolidated data set that you can build on. Osborne are creating a tool to do this, specifically designed for social housing compliance.
